  • As an RICS regulated firm client files may be subject to monitoring and will need to be provided to RICS upon request.

Retaining Communications

We will retain your emails, letters and other communications. This is in our legitimate interests to maintain an audit trail and an accurate record of these. We need these records for our ongoing dealings with you, including our data protection obligations.

Length of storage of data

​

Data can only be stored on a time limited basis and not indefinitely. We will hold data about you and your project/survey on file for 15 years in the event that it is required by an external regulator or for our own reference purposes. Upon expiry of 15 years, details are deleted from electronic files and hard copies are securely destroyed.

Storage and security of data

​

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those third parties who have a business need to know eg. contractors needing contact details for invoicing or solicitors, mortgage advisers etc with whom the investor will be working. They will only process your personal data on our instruction, and they are subject to a duty of confidentiality.

All our information is stored securely electronically on servers or devices. We have made due diligence checks on the cloud storage systems we use, such as Dropbox, as well as the email servers. We are happy with the privacy policy in use by Podio, which we have downloaded and read and have on file. We have also familiarised ourselves with Mailchimp’s data security and privacy document, which we have on file. We are happy that Mailchimp’s policy is very secure. Dropbox, Podio and Mailchimp all use Secure Sockets Layer (SSL)/Transport Layer Security (TLS) to protect data in transit between apps and servers. SSL/TSL creates a secure tunnel protected by 128-bit or higher Advanced Encryption Standard (AES) encryption.

Where We store your personal data

​

The data that We collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA who work for us, one of our suppliers or for our Booking Provider and Payment Processor. Such staff maybe engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

All information you provide to us is stored on our secure servers.

Some payment transactions may be made through our Payment Processor who will be responsible for the protection of the information that you provide to them.

Unfortunately, the transmission of information via the internet is not completely secure. Although We will do our best to protect your personal data, We cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once We have received your information, We will use strict procedures and security features to try to prevent unauthorised access.

You have the right to ask us to amend or delete your data at any time. We encourage you to keep information we hold up to date, such that we can send you emails, opportunities & other marketing from ourselves relevant to you. At the entering of such a request, we will aim to delete your information forthwith, and information will be deleted within 30 days of the request, although some data may remain viewable in cached and archived pages of our sites for a period of time.
